Executive and Digital Research Assistant

The Executive and Digital Research Assistant is a member of the support staff and provides administrative support to the executive team in a professional and timely manner.

What You’ll Do:
  • Provide general administrative and research support to the executive leadership team
  • Gather and summarize data, prepare special reports, and presentation materials for the executive team’s use in discussions/meetings
  • Receives and screens visitors, telephone calls, and letters
  • Arrange meetings and appointments then provide reminders as needed
  • Coordinate conference/meeting room set-up, order catering, and make logistical arrangements
  • Take diction and meeting minutes, accurately enter notes into Google Drive and distribute
  • Attend meetings in person, by phone. Light travel may be needed but most of the duties will be isolated to San Diego county.
  • Uphold a strict level of confidentiality and discretion, sometimes requiring independent judgment and discretion in releasing and allowing appropriate access to confidential information
  • Develop solutions to problems or issues in support of the department’s administrative processes and procedures
  • May be assigned projects that involve providing some guidance or direction to team members
  • Support event planning activities
  • Manage company travel program and make travel arrangements for the executive team and staff
  • Maintain a high level of professionalism
What You Have:
  • 3 years of experience in a similar role
  • Basic understanding of digital marketing: Facebook, Instagram, Twitter content and/or paid media; Google Adwords and SEO; general understanding of ecommerce
  • Prior success in a fast-paced work environment
  • Excellent verbal and written communications skills
  • Excellent time management skills
  • Ability to arrange/coordinate travel for multiple individuals both domestic and international
  • Strong attention to detail
  • Strong sense of urgency with critical thinking and problem-solving skills
  • Ability to juggle competing or shifting demands effectively
  • Proficiency in Microsoft and Google Suites
  • High level of discretion when handling confidential information
  • Ability to handle details independently, while exercising sound business judgment in keeping team members informed as necessary
